Job Description:
We are seeking an experienced Conveyancing Assistant with previous exposure to Australian property and conveyancing matters to support our client's property practice. The successful candidate will provide administrative and transactional support to conveyancers and lawyers across residential and, where applicable, commercial property transactions.
This role is ideal for a highly organized and detail-oriented legal support professional who understands the Australian conveyancing process and can confidently assist with file management, document preparation, searches, settlements, and client communication.
The successful candidate will be comfortable working across multiple active matters, following established processes, and ensuring key dates and documentation are accurately managed.
Responsibilities:
Provide day-to-day administrative and transactional support to conveyancers and property lawyers.
Assist with residential conveyancing matters from initial instruction through to settlement.
Open new matters and maintain accurate electronic client and property files.
Prepare and format contracts of sale, transfer documents, settlement documentation, and other conveyancing documents under supervision.
Order and manage title searches, property searches, council certificates, and other relevant due diligence documentation.
Assist with preparing settlement statements, adjustments, and supporting documentation.
Support electronic settlements through PEXA, including workspace preparation and document management.
Monitor key dates, finance conditions, settlement requirements, and outstanding documentation.
Liaise with clients, real estate agents, brokers, lenders, solicitors, conveyancers, and other stakeholders.
Follow up with clients and third parties for outstanding information and documentation.
Provide clients with professional updates regarding the progress of their matters.
Assist with property purchases, sales, transfers, and refinancing matters.
Maintain accurate records, correspondence, and file notes within the firm's practice management system.
Assist with post-settlement administration and file closure.
Provide general legal and administrative support to the property team as required.
Manage multiple tasks and deadlines while maintaining a high level of accuracy and attention to detail.
Qualifications:
2+ years of experience as a Conveyancing Assistant, Property Legal Assistant, Conveyancing Paralegal, or similar legal support professional.
Previous experience supporting Australian conveyancing or property law matters is strongly preferred.
Good understanding of the Australian residential conveyancing process.
Experience assisting with property purchases and sales from file opening through to settlement.
Familiarity with PEXA and electronic conveyancing processes is highly desirable.
Experience preparing or assisting with conveyancing and settlement documentation.
Familiarity with title searches, property searches, settlement adjustments, and due diligence processes.
Experience liaising with Australian clients, real estate agents, lenders, and legal professionals is advantageous.
Experience using LEAP, Smokeball, Actionstep, or similar legal practice management software is highly regarded.
Excellent written and verbal English communication skills.
Strong administrative, organizational, and file management skills.
Exceptional attention to detail and accuracy.
Ability to follow established procedures and instructions while working with minimal supervision.
Ability to manage multiple matters and competing deadlines in a fully remote environment.
