Job Description:
We are seeking reliable and responsive After-Hours Care Coordinators / Rostering Administrators to provide critical after-hours support for our client's care workforce. The primary responsibility of this role is to manage incoming calls from care workers who are unable to attend scheduled shifts and promptly coordinate suitable replacement workers to ensure continuity of care.
The successful candidates will be confident communicating over the phone, able to remain calm when dealing with urgent staffing issues, and comfortable working independently outside standard business hours. This role requires strong judgment, reliability, organization, and the ability to quickly work through an approved list of available care workers to fill unexpected vacancies.
We are ideally seeking two team members who can provide reliable coverage across the required weekday and weekend hours.
Responsibilities:
Monitor and respond to incoming after-hours calls from care workers.
Handle notifications from care workers who are unable to attend scheduled shifts.
Quickly assess urgent staffing requirements and determine the appropriate next steps.
Work from an approved list of available care workers to identify suitable replacements.
Contact alternative care workers by phone or other approved communication channels to reallocate vacant shifts.
Confirm replacement worker availability and communicate updated shift arrangements.
Ensure urgent and last-minute shifts are filled as quickly and efficiently as possible.
Keep relevant care workers and internal stakeholders informed of changes to scheduled shifts.
Update rostering or workforce management systems with cancellations, replacements, and other relevant information.
Maintain accurate records of calls, staffing changes, and actions taken during each shift.
Escalate situations that cannot be resolved in accordance with established procedures.
Follow clear escalation processes for urgent or sensitive incidents.
Provide professional, calm, and responsive support to care workers at all times.
Complete appropriate handover notes for the daytime operations team.
Maintain strict confidentiality when handling worker and client information.
Qualifications:
1–3+ years of experience in rostering, workforce coordination, scheduling, care administration, customer service, or a similar coordination role.
Experience within the disability, aged care, healthcare, home care, or community services sector is highly desirable.
Previous experience coordinating care workers or managing last-minute shift changes is strongly preferred.
Excellent spoken English and a confident, professional telephone manner.
Strong written English and ability to document incidents and shift changes clearly.
Ability to remain calm and make sound decisions when dealing with urgent staffing issues.
Strong organizational and problem-solving skills.
High level of reliability and punctuality, particularly given the after-hours nature of the position.
Comfortable making outbound calls and proactively contacting multiple workers to fill vacant shifts.
Ability to follow established procedures, worker lists, and escalation processes accurately.
Strong attention to detail when updating rosters and recording shift changes.
Experience using rostering, scheduling, CRM, or workforce management software is advantageous.
Ability to work independently with minimal supervision during early morning, evening, and weekend shifts.
